BEAM Academy HSC Pty Ltd (ABN 19 693 809 013) provides tutoring in Epping, NSW. This policy explains how we handle personal information when you visit our website, contact us, book a session or learn with us.
Information we collect
We collect the information needed to arrange and provide tutoring, including parent or guardian and student names, contact details, year level, subjects, bookings, attendance, learning goals, student work and progress, correspondence, and invoice and payment records.
We receive information directly from students, parents and guardians through bookings, enrolment, lessons, email, phone and student support channels. We also create teaching and administration records as we provide our services. Our website and booking providers may collect technical information such as IP address, device and browser details, pages visited and cookie information.
Please provide only information relevant to your enquiry or the student's learning and safety. If sensitive information is needed, such as information about learning support or a medical emergency, we will seek appropriate consent unless collection is otherwise permitted or required by law. Without necessary contact or enrolment details, we may be unable to arrange or provide a service.
How we use information
We use personal information to respond to enquiries, arrange diagnostics and lessons, manage enrolments and accounts, provide teaching and feedback, communicate with families, support student safety, handle requests and complaints, and meet our legal obligations.
We do not sell student or family personal information. We do not use students' personal information or identifiable work with AI tools. We do not operate CCTV at our centre.
Photos, testimonials and promotion
We ask for permission before using a student's photo, identifiable work or testimonial for promotion. For a student under 18, we seek permission from a parent or guardian. Refusing permission does not affect access to tutoring.
You can contact us to withdraw permission for future promotional use. We will stop new uses and arrange removal from channels we control where reasonably possible. We may be unable to recall printed material already distributed or copies shared by others.
Who may receive information
Relevant BEAM tutors and administrators may access information needed for their work. We use service providers for website hosting, booking, student administration, email, calendars, payments, communications, advertising measurement and record storage. These include Netlify for website hosting, Cal.com for bookings, TutorBird for student administration, Google services for email and documents, Google Analytics (Google LLC, United States) for website measurement, and Meta Platforms, Inc. for advertising measurement. Discord is used for student support where students participate.
Information shared in a group support channel may be visible to other participants. Please keep private family, payment and sensitive information out of group messages and contact BEAM directly instead. Each external platform also has its own terms and privacy practices.
We may disclose information to professional advisers, payment providers or authorities where necessary for our operations, with appropriate consent, or as required or permitted by law.
Overseas processing
Some of our providers process or store information outside Australia, including in the United States. Other locations depend on the provider and service used. For example, Cal.com identifies US processing, and Netlify operates internationally. Contact us if you need more information about the providers relevant to your information. We take reasonable steps to assess how personal information is protected when using external providers.

Cookies and website services
Our website uses the Meta Pixel, run by Meta Platforms, Inc. in the United States, which sets cookies and tells Meta when a page is visited and, later, when a booking is made so BEAM can see which of its ads lead to bookings. BEAM does not send Meta a child's name, contact details, school, year level, marks or anything typed into a form, and you can control advertising settings through your Facebook or Instagram ad preferences. We use Google Analytics, which sets cookies, to count visits and see which pages and sources lead to bookings. BEAM does not send Google a name, contact detail or anything typed into a form, and advertising personalisation features are switched off. Our website also remembers on your device which advertisement or link first brought you here, and passes that, never your details, to our booking calendar so BEAM can see which advertisements lead to bookings. Netlify, our website host, processes technical visitor information such as IP address to deliver and secure the website, while embedded services such as the Cal.com booking calendar and Google Fonts may use cookies or similar technologies for operation, security and preferences, as explained in their own privacy policies.
You can manage or delete cookies through your browser settings and use any cookie choices displayed on the website. Restricting cookies may affect some features. Embedded bookings and external links are also subject to the relevant provider's privacy and cookie practices.
Security and retention
We take reasonable steps to protect personal information against misuse, loss and unauthorised access or disclosure, and limit access to people who need it for their work. No online service is completely secure.
We retain information for as long as reasonably needed for teaching, administration, resolving issues and legal record-keeping obligations. When it is no longer needed and retention is not required by law, we take reasonable steps to delete or de-identify it. Some information may remain in backups until they are replaced under the relevant provider's processes.
Your choices, access and correction
Contact us to request access to or correction of your information, ask about deletion, or withdraw promotional permission. We may need to verify your identity and your authority to act for a student. We consider a young person's capacity and privacy interests when responding to requests.
We will respond within a reasonable time and explain any lawful reason we cannot fulfil a request. Deletion may be limited by legal record-keeping requirements. You can opt out of promotional communications by contacting us or using an unsubscribe option where provided; necessary booking and account messages may still be sent.
Questions and complaints
Email admin@beamacademy.info or call 0491 791 447 and explain your concern. We will review it, ask for any information needed and respond within a reasonable time. If you are dissatisfied, you can contact the Office of the Australian Information Commissioner for guidance and to check whether it can consider your complaint.
